AI Scribe Policy
Introducing AI Transcription
At Hulme Hall Medical Group some of our GPs are now using a secure, NHS-approved AI transcription tool during selected consultations.
This technology helps clinicians create accurate clinical notes more efficiently, allowing them to focus fully on listening to you and discussing your care during your appointment.
We believe artificial intelligence can play a helpful role in the future of primary care and we are carefully exploring how it can support both our patients and staff.
Your consent matters
We understand that not everyone will feel comfortable with AI being used in their consultation. If you would prefer not to have AI involved, please let a member of the team know. Your choice will be fully respected and will not affect the quality of care you receive.
What does the AI transcription tool do?
The tool listens to the conversation between you and your clinician and produces a draft clinical note in real time. It is a tool used solely to support notetaking. It does not make diagnoses, clinical decisions, or treatment recommendations. Your clinician always remains fully in control of your care.
Is your information safe?
Yes. Your privacy and confidentiality are protected at every stage:
- Audio is not stored. Speech is processed in real time and deleted immediately after transcription.
- Data is securely handled. Draft notes are temporarily stored on secure, NHS-compliant servers within the UK/EU and are automatically deleted after 30 days.
- No data leaves the NHS environment. Your information is not used to train AI systems and is never sold or shared with third parties.
- NHS-approved. NHS approved AI transcription software meets NHS Information Governance, GDPR, and cybersecurity requirements.
Who can see the notes?
Only your clinician can see the draft notes. They review, edit, and approve the content before anything is added to your official medical record. You may ask to see the draft if you wish.
In summary
NHS approved AI transcription software is a secure system used solely to help clinicians write notes more efficiently. It does not make clinical decisions, and your information is used only to support your care.
If you have any questions or concerns, please speak to your clinician or a member of our practice team.
